Organizational Setting and Reporting Relationship
The position Real Estate Management Analyst is assigned to the Institutional Services Division (CSIS) within the Corporate Services Department (CSD). You will be based at our Headquarters in Manila, Philippines.
You will report to the designated International Staff and Senior Officer.
Your Role
As a Real Estate Management Analyst, you will provide technical and operational support to ADB's field offices (FOs) in real estate and property planning and implementation of facilities improvement, expansion and relocation projects funded under capital expenditure (CAPEX) budget for selected field offices.
You will:
- Support architectural and interior design activities for construction, renovation, and alteration activities of CAPEX projects for FOs.
- Prepare architectural/interior design conceptual and schematic design drawings in AutoCAD format and support in the coordination of all relevant engineering trades and other supporting services (Structural, Mechanical, Electrical Plumbing and Firefighting, Information and Communications Technology, and Security).
- Prepare additional design deliverables such as material finish digest, mood boards, furniture schedule and presentations for coordination and approval of primary stakeholders.
- Help collect and validate data for space programming and planning of FOs, ensuring it is aligned with approved budget and staff positions in collaboration with the Budget and Management Services Division and Strategic Workforce Unit (BPMSD-SWU).
- Support in coordinating and monitoring implementation progress to ensure compliance with approved plans, material finishes and specifications. Manage design conflicts between different trades for efficient construction implementation and subsequent completion of the project.
- Provide technical guidance to FOs in planning, designing, contract management, cost assessment, project management, and general facilities management requirements.
- Contribute to the preparation of project schedule, milestones, indicative project cost estimates and furniture bill of quantities in preparation for project tender aligned with the CAPEX budget.
- Support in the further development of the FOs design framework and standards manuals to ensure the latest ADB workplace standards and guidelines are followed.
- Perform mission for project assessment, site inspection, material finish and furniture selection, punch listing and project handover acceptance following project milestones, and updates to CAPEX-governance project documents.
- Coordinate with project stakeholders and other divisions of CSD, and partner departments (ITD, BPBM, and regional departments).
- Perform other duties as may be assigned and reflected in your work plan.
Qualifications
You will need:
- Bachelor's degree in architecture, interior design, engineering preferred.
- At least 5 years' relevant professional experience in work planning, design management, fit-out construction management, cost and budget monitoring, commercial real estate processes, and general procurement of goods and services in a corporate real estate management setting.
- Experience in project management/coordination, process documentation, process analysis, and process auditing.
- Demonstrate good coordination and can collaborate with all types of internal and external clients.
- Working knowledge of an international institution's IT systems and computer-based applications, including Microsoft applications, AutoCAD, SketchUp and Photoshop.
- Liaise and work with staff within own work location and ADB and able to work with teams as a constructive team member.
- Excellent command of written and verbal communication skills in English.

Additional Information
This position is funded by a temporary funding source (e.g., a trust fund, financing facility, or capital expenditure budget) and therefore, the renewal of the appointment and its duration are subject to the availability of the funding source.
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff’s particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff’s performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
