ORGANIZATIONAL CONTEXT
In 2018, WFP re-established its presence in the Caribbean with an office in Barbados. The WFP Multi-Country Office (MCO) supports 22 countries and territories across the English and Dutch speaking Caribbean.
WFP Caribbean’s capacity strengthening focuses on vulnerability analysis and mapping; end to end supply chain management; shock responsive social protection, school-based programming; food systems strengthening; and climate risk financing.
In times of crisis, WFP works with partners to provide direct assistance when events surpass national and regional capacities by delivering food, cash or voucher assistance, or through emergency logistics or emergency telecommunications service provision.
Job holders will perform administrative support functions to the St. Vincent and the Grenadines Satellite Office and will report to the Head of Satellite Office or their designate. At this level, work is carried out under minimal supervision. Job holders are expected to produce organized and accurate work, undertaking specific business support activities. They may offer guidance on standard practices to more junior staff in their area of work.
Job Purpose
To deliver standard business support processes to the WFP St. Vincent and the Grenadines satellite office, to facilitate effective service delivery to the operations.
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
Gather information with clear direction to support the drafting of documents, preparing reports by other staff, and update/maintenance of database/records.
Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work.
Respond to queries and escalate where appropriate, in order to provide a timely and accurate service.
Provide guidance on routine business support methods and practices to colleagues to ensure services are delivered consistently and to the required standards.
Facilitate upkeep of the Office premise including repairs and maintenance, janitorial, security, etc.
Maintain adequate inventory of office supplies and visibility items and ensuring request is made to replenish stocks.
Provide support with Travel for the St. Vincent and the Grenadines Office, including providing assistance with visa and customs.
Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
Keep accurate record of cash and petty cash journals and submit monthly reports in a timely manner.
Maintain a standard set of systems and files, to ensure information is accurate and readily available for the finance function.
Any other related duties as assigned.
OTHER POST REQUIREMENTS (details to be determined by Post Managers)
As a humanitarian organization, WFP provides emergency response support to the 22 English and Dutch-speaking countries in the Caribbean as needed. In this role, the incumbent may be required to:
Support the Unit's emergency response activities.
Deploy to affected countries to assist with operations as required.
Work beyond regular working hours to support emergency response effort.
STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE:
Education: Completion of secondary school education.
Experience: Four or more years of progressively responsible work experience providing administrative support to an office or department.
Knowledge & Skills:
Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
Ability to independently execute work processes and routines with minimal supervision.
Ability to demonstrate a client-oriented approach, high sense of responsibility, courtesy and tact.
Ability to identify data discrepancies and rectify problems requiring attention.
Ability to offer guidance or basic on-the-job training to more junior staff.
Experience using Microsoft Suite applications.
Language: Fluency in both oral and written communication in the English Language
Who Can Apply?
This position is open to nationals of St. Vincent & The Grenadines and CARICOM member states and associate members. CARICOM Nationals applying for national position outside of their home country bear sole responsibility for required actions or expenses related to relocation, accommodation, repatriation and any other living expenses, etc. A CARICOM Skilled National Certificate is a pre-requisite of employment for successful candidates who are not from the country for which the position is advertised.

Type of position: Short Term, Full Time
Type of Contact: Service Contract Level 4 (SC 4)
Duration on Contract: 6 months. This contract is eligible for extension. Extension of contracts will be based on satisfactory performance and operational requirements.
Duty Station: Kingstown, St. Vincent & The Grenadines.
Travel Requirements: The WFP Caribbean Office cover the 22 English and Dutch speaking Caribbean countries. The selected candidate may be required to travel from time to time, both regionally and internationally, to support missions, emergency responses, training etc. As such full medical clearance will be required.

Remuneration: The salary for this position starts at XCD $4,255.35 per month.
