Position Objective
Under the overall guidance of the Head of IIU, the Team Assistant is responsible for supporting the good administration of the IIU. S/he will be expected to contribute to the efficient execution of the Unit’s administrative processes, including but not limited to IIU procurement, budget, and travel workflows. S/he will also provide administrative support to the Head of IIU, manage the IIU digital filing system, and perform other relevant administrative tasks to facilitate timely delivery of IIU priorities.
Purpose
- Execute administrative processes and procedures in compliance with existing guidelines and practices of the Fund to support timely implementation of the IIU programmatic work and effective management of resources, particularly transactional tasks in the areas of procurement, budget administration, and client coordination;
- Provide support to the Head of IIU on schedule management, mission travel arrangements, and general coordination with the IIU team; and
- Maintain and organise a cloud-based work platform (SharePoint) and ensure effective record keeping and information/document management.
Engagement
- Coordinate the internal flow of communications in the IIU, ensuring timely dissemination of information to all, facilitating organized scheduling of relevant engagements, and responding to routine requests for information;
- Communicate with focal points from within the Fund and with external partners to coordinate information and related logistics; and
- Draft and compile formal meeting minutes of the IIU and other reference documents or reports that may be relevant for official record keeping by the Unit.
Delivery
- Prepare operational dashboards/databases to support timely delivery of priorities and organisation of information;
- Coordinate with relevant offices within the Fund and with external vendors to support administrative workflows related to procurement, budget, and travel;
- Support the logistical planning of IIU events (e.g., conferences, workshops, and other formal and informal meetings) and delivery of relevant resources/materials for such events in a timely manner; And
- Perform any other relevant tasks that may be assigned by the Head of IIU.
Requirements (Education, experience, technical competencies required of the job)
- Bachelor’s degree, with at least three (3) years of relevant experience or equivalent combination of relevant education and experience; Minimum of one (1) year relevant professional experience within an international organization is required;
- Formal training in secretarial, clerical, administrative, and/or operational services is desirable;
- Experience in handling logistics for events (workshops, conferences, etc.) and in supporting teams;
- Strong commitment to good office administration and ability to work independently with a high level of accuracy and discretion;
- Ability to communicate and coordinate information effectively with a variety of stakeholders;
- Good knowledge of office technology such as MS Office package and experience in working with databases are required; and
- Fluency in written and spoken English is required.
