Job Title: Development Associate (Philanthropy) - HALO USA

Location: Washington, DC. (Permanent roles are required to be in the office regularly)

Position: Full-time, Exempt

Salary: $65,000-$75,000, commensurate with experience

Key working relationships (internal): Manager(s), Head of Philanthropy (US), Philanthropy teams, Communications teams (UK and US), Finance and Administration (US), Executive Director, Country PO’s.

Key working relationships (external): HALO USA Donors, as assigned

Reporting to: Director, Major and Principal Gifts, HALO Trust USA

About HALO USA:

The HALO Trust (USA) is a non-profit 501(c)(3) organization specializing in the removal of landmines and other explosive remnants of war, with projects in 28+ countries and territories employing almost 10,000 people. HALO’s Washington, DC office works with foundations, government partners, international agencies, and private donors to increase awareness of the impact of landmines on post-conflict communities and to raise funds to support HALO’s teams working in over 29 countries and territories.

About the Role:

The position provides primary support to gift officers, managers, and the head of the department by identifying prospects, analysing donor data, optimizing fundraising portfolios, compiling research for building and/or updating prospects or donors with briefs, proposals, letters, and ensuring accountability through reporting, data tracking, and managing moves activity. This role supports the work of the HALO USA’s private fundraising team in securing unrestricted and restricted gifts by prospecting individuals, foundations, corporations, supporting appeals and campaigns, submitting funding requests and in providing excellent stewardship.

Key Responsibilities:

Donor Relations Support (50%)

  • Tracks and manages portfolio activity and conducts supporting donor research for the purposes of partnering with portfolio managers to create customized and effective cultivation/solicitation strategies for donors.
  • Support both restricted and unrestricted fundraising efforts by drafting individual donor appeals, donor updates, presentations, briefers, Letters of Intent (LOIs), concept notes, and other necessary materials to secure gifts and enhance donor engagement.
  • Assist the major gift director(s) in the qualification of new high net worth donors within the pipeline and as driven by organizational priorities.
  • Support implementing personalized stewardship touchpoints and recognition efforts for major donors and high-net-worth individuals.
  • Develop and update fundraising communication tools and products, such as program briefs, appeals, and brochure and draft personalized correspondence and updates to donors, as needed.
  • Maintain and update records of individual donor accounts and activities in CRM for accounts, ensuring accurate and up-to-date information for effective donor relationship management.
  • Assist in the execution of fundraising campaigns throughout the year especially for the EOY/Annual Fund initiatives and support successful implementation of campaign strategies.
  • Assist the philanthropy team with notes, actions, and development of a regular SitRep for reporting to HALO USA, US Board and other HALO leadership.

Donor Prospecting (25%):

  • Uses CRM and prospect research tools to gather, evaluate, and analyse donor data and behaviour to identify and segment prospects for assignment to appropriate stages of the donor pipeline; Conducts wealth screenings of recent donors to identify new major gift prospects.
  • Generates prospect lists, donor profiles, event briefs, and other materials based on confirmed data procured through research for use by front-line fundraisers to build custom cultivation strategies.
  • Provides portfolio management support to front-line fundraisers including tracking relationships and planning proposals in the CRM system, updating the moves management guidelines document, and conducting regular portfolio review meetings to analyse and balance portfolio performance.
  • Builds dashboards, queries, and reports using CRM system and Excel to analyse solicitor activity, portfolio performance, pipeline progress, and donor behaviour trends for use by front-line fundraisers in the creation of fundraising strategies.
  • Identify and research prospective donors, including individuals, corporations, and foundations, and support research of new donors using iWave, wealth screening tools, Foundation Directory, etc.
  • Stays current with trends in philanthropy and technical developments that apply to prospect research and management.

Events & Donor Engagement (25%)

  • Coordinate and execute fundraising events; create event plans, including roles and objectives, coordinate logistics, develop timelines and monitor progress, liaise with vendors, troubleshoot challenges that arise to ensure successful event delivery.
  • Ensures strong logistical coordination for assigned events.
  • Utilizes defined processes to ensure timely and accurate event data entry.
  • Assist with post-event actions and cultivation tactics.
  • Ensures compliance with HALO policies for events and organizational financial controls.

Requirements

  • Bachelor’s degree.
  • Strong experience with stakeholder support (such as donors), engagement plans, touchpoint development and execution, tracking, data-entry, prospect research.
  • Excellent written skills, design and ability to provide strong first drafts on an article, newsletter, story, letters, and other correspondence.
  • Experience in providing administrative support in a busy team to tight deadlines and high accountability.
  • Experience with event planning, and execution.
  • 2-3 years of using Salesforce, Raiser’s Edge, or other Similar CRM; Experience with reporting systems for donation processing is preferred.
  • Strong attention to detail and organization skills and resourcefulness and a willingness to learn.
  • 2-3 years of demonstrable experience in prospecting, revenue acquisition, and experience with a non-profit environment for international development.
  • Able to deliver assignments in a fast-paced office.
  • Accountable, take on additional responsibility, and to learn and grow.
  • Good project management skills

  • Sick Leave: 5 days (1 week) paid Sick-Leave. Sick Leave cannot be ‘carried-over’ to the next year.
