Position Objective
Under the direction of the Director within the Office of the Chief Strategy and Impact Officer (OCSIO), the Senior Team Assistant is expected to demonstrate proficiency and expert-level skills, including the ability to operate within broader contexts, anticipate needs, and maintain high standards in administrative support while adapting to various demands. The Senior Team Assistant will ensure consistent service delivery and uphold the Fund’s high standards through quality execution of responsibilities.
Purpose
- Assure constant support to the Division’s management by ensuring that general administrative, human resources, budget, and procurement related support is provided to the Division on a timely manner and serve as the Division’s focal point (in communication with other Divisions) as deemed necessary.
- Oversee and contribute where applicable to office managerial processes to ensure efficiency, quality assurance, effectiveness, adaptability, and innovation of the Division’s output in alignment with the Director’s vision at the administrative level, working closely with the Director and Senior Staff of the Division.
- Ensure consistent quality across a range of deliverables through thorough planning and coordination of the publication process for board meetings for successful and timely delivery of board documents on funding proposals.
Engagement
- Supervise a support team (where applicable) by assigning tasks equitably and providing guidance on the tasks assigned to raise baseline of learned skill sets where possible or applicable;
- Identify and recommend key areas for the Director’s attention for his/her managerial role, then communicate messages on behalf of the Director to the team and cross-divisionally for internal flow of information; and
- Train new staff on organizational processes for proper socialization and exemplify high professional standards when communicating with internal and external contacts, for in-person, oral, or written interaction.
Delivery
- Oversee correspondence and communications to external contacts to adhere strictly to standard established with GCF Correspondence Guidelines, identifying and advising on opportunities to improve procedures in practice, providing training and guidance;
- Develop guidelines or manuals for administration-related matters and centrally manages official records files and information materials.
Requirements (Education, experience, technical competencies required of the job)
- Bachelor’s degree, with at least seven (7) years of relevant experience or equivalent combination of relevant education and experience;
- Experience in handling logistics for events, workshops, conferences and Board meetings;
- At least two (2) years of supervisory experience in a similar office setting preferred; Previous experience supporting larger teams is required;
- Formal training in secretarial, clerical, administrative, and/or operational services desirable; and
- Good knowledge of office technology such as MS office package, and experience in working with databases is highly desirable.
