Job Description
The Reception Assistant - Communication and Information Provision works under the supervision of
the Greek authorities (Reception and Identification Service-RIS) in performing some or all of the
following tasks:
- Support RIS to undertake regular and appropriate needs assessment concerning information provision to residents, including identifying and building on existing activities;
- Support RIS to implement strategic response plans in accordance with the needs assessment, in cooperation with RIS HQ;
- Support RIS in the preparation and implementation of information provision sessions through different methodologies, including individual and group information sessions,
- Focus Group Discussions, through the Info Desk, and information campaigns, on topics relevant for the residents and RIS, at different stages of the reception procedures, from arrival, during stay, to exit;
- Support RIS in the development and communication to the residents of information provision material (e.g. announcements, leaflets), in cooperation with RIS HQ and other relevant stakeholders;
- Support RIS in identifying representatives of residents, setting-up regular meetings and response mechanisms, including community meetings, involving also relevant stakeholders;
- Support RIS in the implementation of Standard Operating Procedures (SOPs), guidance, workflows, operational and administrative tools that address local needs on issues relevant to communication and information provision to be implemented internally and/or in cooperation with other actors, in cooperation with RIS HQ;
- Support RIS in the operation of a feedback mechanism for the residents at local level and follow-up of the issues raised, in cooperation with RIS HQ and other relevant internal and external stakeholders;
- Support through community outreach the identification of persons with special reception needs and appropriate referral;
- Support RIS staff through capacity building activities and on-the-job coaching about topics and tools related to communication and information provision;
- Participate in local meetings related to information provision or other reception issues, either internally in RIS or with other local actors;
- Attend and contribute to thematic, coordination or other meetings and workshops organised by RIS, EUAA and/or other actors at central level, that aim to enhance and harmonise activities, procedures, and tools on reception issues;
- Attend regular meetings with EUAA at central and local level;
- Participate in trainings organised by EUAA or other stakeholders centrally, locally or in other locations, when requested.
- Provide regular analytical and statistical reports of provided services and challenges;
- Draft documents, templates, minutes and reports;
- Perform any other tasks in the interest of the service, relevant for the specific profile.
Requirements
- University degree – preferred and advantageous;
- Demonstrated previous experience in relevant tasks required;
- Very good understanding of the Greek migration and reception context;
- Fluency in Greek and in English (oral and written);
- Computer literacy, including MS Office applications (Word, Excel), use of internet and web- based applications;
- Excellent organizational and analytical skills;
- Ability to work in a multicultural environment and under pressure.
