Job Purpose

The Change Management Specialist oversees IMDT reporting, change management, and policy management awareness. The role handles and coordinates transformative change management tasks in Information Technology, crafting suitable awareness campaigns and educational resources for IsDB on a global scale, including its staff and contractors. The role adjusts the approach for each audience, evaluating the success of each campaign.

Key Accountabilities
  • Manage and maintain change management standards, procedures, and guidelines to ensure consistency and standardization of transformational and projects change management practices.

  • Coordinating with IMDT managers and team leads to support the planning, and execution of transformation initiatives and projects across the organization. Capture change management requirements, design and deliver awareness training to IMDT and business stakeholders.

  • Support managers in relation to change management plans including communications, training, stakeholder engagement, and impact analysis.

  • Identify and execute continuous improvement opportunities across change management processes, to enhance the execution of activities.

  • Performs periodic change readiness assessment to determine feasibility of implementation and present the results to relevant key stakeholders.

  • Operates as primary contact to address any issues and queries on transformational change management activities.

  • Scope, design and execute awareness campaigns to meet targeted goals. Lead the creation and procurement of awareness deliverables and learning content, leveraging various mechanisms for effective delivery in IsDB, measure the usage of the content and its effectiveness, and develop metrics.

  • Raise awareness by organizing meetings (such as committees and working groups) to assist IsDB departments in comprehending the objectives of IT projects and in carrying out their responsibilities related to enterprise technology usage.

  • Provide guidance, develop, manage, and implement a positive awareness program for IMDT documentation (standards, frameworks, information security, policies, processes, procedures) focused on improving positive behaviors to the business users, technical users, contractors, new hire orientation, and stakeholders.

  • Measure and report on the effectiveness of awareness campaigns using quizzes and tests. Ensure that the awareness programs and campaigns are successfully altering behaviors and adjust program design and execution as needed.

  • Encourage the adoption of policy, process, and skill changes necessary for a smooth transition and to fully capitalize on the potential of well-established organizations. This will be achieved through presentations, workshops, and working groups involving senior management, business process owners, assurance functions, and IMDT teams.

  • Contribute to the development of the IT strategy and IMDT transformational projects.

  • Support or lead communication with senior management and business functions.

  • Oversees the gathering of reporting requirements from business stakeholders and the delivery of performance reports accordingly to be presented to the stakeholders.

  • Conduct an analysis of reporting requirements for IMDT functions by organizing workshops involving stakeholders. Additionally, evaluate whether there is a necessity for new reporting solutions/tools or if the existing implemented reporting solutions/tools can be utilized.

  • Liaise with stakeholders to determine and document data source systems, databases, repositories, and attributes deemed essential for reporting and analysis.

  • Support the decision-making process through information gathering and analysis.

  • Gain insight into the reports and analytics of the business/directorate/complex to enhance comprehension of critical areas for reporting visualization and enhancement.

  • Collate, prepare, present, and disseminate reporting related to key IMDT activities (such as performance, financials, operations, transformation, strategic alignment, risks, issues, projects progress, etc.).

  • Create, distribute, and present accurate, meaningful, and insightful data from IMDT sources. Transform, organize, and model raw data to extract meaning, draw conclusions, and identify patterns that enhance productivity and business gains.

  • Coordinate, schedule and prepare for IMDT meetings including committees, team meetings and working groups to support meeting effectiveness, accurate minutes are recorded and disseminated, and actions are progressed in a timely manner.

Academic and professional qualifications
  • Bachelor's degree in Science, Engineering or Commerce/Business.

  • Minimum 5 years of experience, including practical experience with functions related to Information Technology change management, policy management and/or common IT industry standards, management reporting and communication.

  • Experience in social media platform and collaborative tools are preferred.

Skills & Necessary Knowledge
  • Exceptional communication skills, both written and verbal.

  • Experience and knowledge of adoption and change management principles, methodologies, and tools.

  • Familiarity with project management approaches, tools, and phases of the project lifecycle.

  • Change management certification or designation desired.

  • Experience working with common IT industry standards, frameworks and methodologies, and experience in adopting and implementing processes, policies and procedures and work methods.

  • Promoting adoption and enhancing maturity of IT industry practices.

  • Experience in managing and coordinating with third party vendors (vendor management).

  • Analytical conceptual thinking and problem solving.

  • Project management, negotiation skills and organizing skills.

  • Business writing and presentation for senior management, business, and technical stakeholders.
