Organizational Setting and Reporting Relationship

The position Operations Assistant is assigned to the Pakistan Resident Mission (PRM) within the Central and West Asia Department (CWRD). You will be based at our Resident Mission in Islamabad, Pakistan.

You will report to designated International Staff and Officer.

Your Role

As a Senior Operations Assistant, you will perform a full range of administrative responsibilities for the Country Director and International Staff to support PRM activities and operations. You will provide support in office operation and some project administration and portfolio management activities, and will perform a full range of administrative requirements, including standard activities as may be directed by the supervisor.


You will:

  • Ensure that all correspondence and documents for supervisors are correctly typed, prepared and submitted on time in
    compliance with ADB's standards.
  • Maintain liaison with government authorities and agencies, development partners and other stakeholders, and ADB HQ to support and facilitate operations and coordination.
  • Ensure intra-office communications, including sharing of guiding information, both from within PRM and from HQ.
  • Ensure all the incoming mails are logged, distributed, and brought to the attention of concerned staff, and that communications are delivered. Translate incoming correspondence and do interpretation during meetings with government official.
  • Provide efficient reception services by screening incoming telephone calls, taking accurate messages, dealing with queries from internal/external calls to ensure they are referred promptly to the concerned staff.
  • Coordinate supervisors' schedules by maintaining their diaries and arranging appointments, meetings, travel and accommodation as specified by supervisors observing ADB procedures. Prepare and keep record of meeting minutes as and when required.
  • Help prepare Aide Memoirs, PowerPoint presentations, background papers, back-to-office reports and other reports on group assigned.
  • Assist on tasks related to project processing functions of the assigned sector/unit.
  • Arrange missions and travel through Concur System. Support logistics facilities such as transportation, workshops, and seminars.
  • Assist other Operations Assistant and provide support when absent to ensure all incoming mails are recorded, distributed and brought to the attention of staff concerned, and that mails are delivered.
  • Ensure the office filing systems (both electronic and paper) are maintained and updated observing an existing framework for easy retrieval. Maintain relevant data bases.
  • Support in organizing and managing internal and external events, conferences, workshops, and other related activities.
  • Perform any other tasks as may be required and reflected in the incumbent's work plan.


Qualifications

You will need:

  • Bachelor's degree in finance, accounting, or business Administration.
  • At least 5 years of relevant work experience; preferably with related experience in international agencies.
  • Proficient in standard software programs and information technologies such as in MS Office Suite (Outlook, Word, Excel, and PowerPoint, Sharepoint).
  • Familiarity with videoconferencing tools (MS Teams, Zoom, Webex, etc.).
  • Excellent administrative and organizational skills, with attention to details; ability to handle numerous responsibilities simultaneously.
  • Ability to liaise and work with staff within own work location, and with other ADB stakeholders.
  • Ability to develop relationship internally and externally in a multilateral environment.
  • Ability to work with teams as a constructive team member.
  • Presentation and communications skills both in English and Urdu language.

Additional Information

This is a fixed term appointment with option to renew for an initial period of three (3) years following Section 3.1 (b) of Administrative Order No. 2.01 (“Recruitment and Appointment’). This appointment is not convertible to a regular appointment. It may be extended on an exceptional basis for a further fixed period at the option of ADB. This appointment is open to internal and external applicants.

This opening is a local staff position. It is open only to nationals and residents of Pakistan.
