Organizational Setting and Reporting Relationship
The position of Operations Assistant is assigned to the Bangladesh Resident Mission (BRM) within the South Asia Department (SARD). You will be based at our Resident Mission Office in Dhaka, Bangladesh.
You will report to Designated International Staff and Officer.
Your Role
As an Operations Assistant, you will provide full range of administrative duties for the assigned supervisors, including managing records, contact with the public, preparing correspondence and reports, assistance for visiting ADB missions and other appropriate functions; and other administrative tasks in general.
You will:
- Ensure that all correspondence and documents for supervisors are correctly typed, prepared and submitted on time in compliance with ADB's standard.
- Ensure the effective coordination of supervisors' schedules by maintaining their diaries and arranging appointments, meetings, travel and accommodation as specified by supervisors in accordance with ADB procedures.
- Arrange meetings/appointments with Government of Bangladesh, executing agencies, donors and other stakeholders.
- Help prepare briefing papers for senior management, presentation materials for senior officials' meetings including fixing/organizing seminars, workshops, press conferences etc.
- Help prepare Aide Memoirs, background papers, back-to-office reports (BTORs) and other reports.
- Edit and format ADB documents such as project completion reports (PCRs), Technical Assistance Completion Reports (TCRs), consultant reports and upload them on SharePoint.
- Ensure the office filing systems and records are maintained and updated following an existing framework for easy retrieval.
- Responsible for maintenance of document files and databases. Monitor incoming and outgoing documents, reports, e-mails for action or reassignment (in the absence of responsible Sector Staff).
- Perform any other tasks as required and reflected in the incumbent's workplan.
- Relieve other Operations Assistants when they are absent.
Qualifications
You will need:
- Bachelor's degree
- At least 5 years of relevant professional experience
- With sound knowledge of commonly used application software including and Microsoft Office software (word processing, spreadsheets and graphics, presentation applications and search engines).
- Knowledge of processing and project administration activities.
- Excellent written and verbal communication skills in English

Additional Information
This appointment is open to internal and external applicants.
This opening is a local staff position. It is open only to nationals and permanent residents of Bangladesh.
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
