Danish Refugee Council (DRC) is a leading protection agency with a mandate to protect, advocate and promote durable solutions for displacement affected populations.
DRC has been operating in Ukraine since 2014, currently DRC employs over 800 staff in Ukraine and implements emergency response in the Protection, Livelihoods, Shelter/NFIs and Humanitarian Disarmament and Peacebuilding (humanitarian mine action) sectors, using direct interventions, support to duty bearers and civil society organizations (CSOs), and partnerships with CSOs. DRC will continue and adapt its durable solutions portfolio to the evolving context.
DRC is currently looking for a Shelter and Settlement Assistant in Kharkiv.
About the job:
Implement projects, reporting and evaluation, including: correctly completed and submitted acts of completion, maintaining a register of beneficiaries who received assistance, disaggregated by gender, vulnerability and number per household. Monitor the accuracy and timeliness of internal reports, ensure proper storage of project records and tools (electronic and hard copies).
Your main duties and responsibilities will be:
- Represent DRC in coordination and technical meetings with state and local authorities, NGOs, and partners.
 - Prepare official correspondence, including letters of inquiry or response to government institutions and partners.
 - Support preparation of technical documentation (BoQs) and tender materials for rehabilitation works.
 - Coordinate with community representatives to identify and assess shelter needs, organize focus groups, and register beneficiaries in KOBO.
 - Plan and conduct field visits, prepare TRFs, and ensure necessary coordination with the Safety Department.
 - Communicate with beneficiaries throughout all stages of project implementation, provide information on DRC activities, and collect feedback through the complaint and response mechanism.
 - Conduct technical damage assessments, take photos, and collect beneficiary documentation.
 - Process and analyze data in KOBO, update project progress in InfoPortal and SIDAR, and prepare required reports for the Shelter Officer or Team Leader.
 - Prepare, sign, and archive agreements and acceptance certificates with beneficiaries, and ensure accurate document management on SharePoint.
 - Monitor implementation progress, verify work quality on site, and conduct post-monitoring calls to assess satisfaction and compliance.
 - Support the Shelter Team in partner capacity building, procurement (PR preparation), and coordination of different assistance modalities, including cash or in-kind support.
 - Provide referrals to other sectors when relevant needs are identified.
 - Perform other duties as assigned by the Shelter Team Leader or Manager to ensure project targets are achieved.
 
About you
To be successful in this role we expect you to have minimum 2 years of relevant experience, preferably with experience in the field of humanitarian response for an international NGO, UN agency, relevant ministry, or local authority. Preferably professional experience as an engineer/architect involved in construction projects and/or experience in administrative and other support tasks. Moreover, we also expect the following:
Required:
- University degrees in Civil Engineering, architecture or related topics are preferred.
 - Languages: Ukrainian
 - Computer literacy: Confident user in Microsoft Office Word, Excel, PowerPoint та Outlook.
 - Skills in GIS software and AutoCAD are an asset.
 
Desirable:
- Languages: English an asset.
 - Experience in administrative and support tasks.

We offer:
Contract length: 3 months probation period, with the possibility of extension based on funding andsatisfactory performance.
