Organizational Setting
The Food and Agriculture Organization (FAO) is a specialized agency of the United Nations that leads international efforts to defeat hunger. With 195 members - 194 countries and the European Union, FAO works in over 130 countries worldwide and has started working in Viet Nam since 1978 with its Representation (Country Office) opened in Ha Noi.
FAO Vietnam is looking for a qualified Operations Assistant to provide the support for the operations aspects of the projects following the detailed tasks and responsibilities as below.
Reporting Lines
The National Operations Assistant will work under the overall guidance of the FAO Representative in Viet Nam and the direct supervision of the Assistant FAO Representative (Programme).
Technical Focus
The National Operations Assistant will provide comprehensive operational support to FAO Viet Nam projects, ensuring compliance with FAO rules and procedures in areas such as procurement, recruitment, travel, event organization, and contract management.
Tasks and responsibilities
• Prepare Letter of Agreements (LOA) and contracts according to FAO’s requirements and procedures, and monitor their implementation;
• Assist in the processes for procurement of project goods and services, and follow up on Purchase Orders (POs) related deliveries and payment;
• Assist in recruiting international/national affiliate workforce as required;
• Provide inputs to the project work plans, budget and other reporting requirements;
• Maintain relevant project monitoring tables (project HR, travel, procurement, asset);
• Draft correspondence and other documents as required;
• Process Travel Authorization, TEC and logistic arrangement (flight, accommodation, etc.) for duty travels and missions;
• Provide operational supports to organizing events and field activities;
• Undertake field missions and participate in events as required.
• Perform other duties as required.
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
Minimum Requirements
• Bachelor’s degree (or equivalent) in finance, accounting, business administration or related field is required.
• Minimum 3 years of relevant experience in financial and operational support.
• Working knowledge of English and Vietnamese.
• National of Viet Nam or resident of the country with valid work permit.
