ORGANIZATIONAL CONTEXT:
The United Nations World Food Programme (WFP) is the world's largest humanitarian organization saving lives in emergencies and using food assistance to build pathway to peace, stability, and prosperity for people recovering from conflict, disasters, and the impact of climate change.
The position is based in Djibouti City and reports to the Partnerships, Reporting, and Communications Officer. At this level, the incumbent is responsible for supporting the effective implementation of various communication and reporting activities, requiring some interpretation of standard guidelines and practices. This includes assisting with reporting tasks, implementing general administrative procedures, and carrying out specialized communication processes that facilitate the creation of information and communication content aimed at maintaining and enhancing WFP’s visibility and reputation. The incumbent will take responsibility for completing a range of communication and reporting processes and activities in close collaboration with internal and external partners.
JOB PURPOSE:
The Communications and Reporting Assistant will provide administrative and specialized support to ensure the effective implementation of communication and reporting activities that maintain and enhance WFP’s visibility and reputation, and support fundraising activities. The role involves contributing to the development and dissemination of communication materials, supporting the organization and execution of events, and assisting in the preparation and formatting of reports in collaboration with internal partners. The incumbent will also perform a range of tasks to support and provide timely, effective, and efficient execution of service requests. Under the supervision of the Partnerships, Reporting, and Communications Officer, the Assistant will help deliver key communication and reporting tasks in line with the office work plan, ensuring compliance with corporate standards and guidelines.
KEY RESPONSIBILITIES:
The incumbent will undertake the following tasks:
1. Provide coordination, administrative, and specialized support to facilitate the planning, development, and execution of communication campaigns targeting specific audiences. Assist in creating communication materials for campaigns, social mobilization, and awareness initiatives, as well as contribute to other activities that implement the Country Office’s communication strategy.
2. Provide administrative and coordination support to ensure smooth scheduling, preparation of materials, and venue arrangements, while assisting with clearances for events and multimedia projects such as video, photography, and radio. Follow up onrequired documentation for procurement processes, tenders, and field missions to ensure timely completion and compliance with established procedures.
3. Under clear guidance, capture photos, videos, and interviews from key audiences and prepare content (inspiring stories) for social media platforms, reports, and printed material, to enhance coverage and support WFP’s activities, ensuring consistency with corporate messages and standards. Internal and external communication products will be designed in line with WFP’s branding guidelines (e.g., newsletters, brochures, etc.).
4. Respond to a variety of queries and requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries.
5. Assist in coordinating with relevant Units to collect relevant information and data required to draft activity reports, internal reports, and other corporate and donors' reports. Ensure that all reports comply with WFP guidelines and donors' requirements and are submitted to donors and stakeholders in a timely manner.
6. Research, collect, and regularly update a multimedia database with relevant photos, videos, case studies, and reference materials to support ongoing communication efforts.
7. Assist in executing internal and external communication plans by selecting appropriate tools and channels, ensuring alignment with WFP’s communication standards and ethics.
8. Support the identification, documentation, and dissemination of best practices, success stories, and innovations from WFP projects to enhance institutional learning and visibility.
9. Collect relevant information and data required for the preparation of activity reports, internal reports, situation reports, and other documents, in accordance with WFP requirements. Draft minutes and summaries of meetings and other relevant documents.
10. Assist in organizing and supporting internal and external events such as field visits, conferences, workshops, and information sessions. Contribute to WFP communication and donor visibility efforts by capturing photos and videos, gathering stories from beneficiaries, staff, and partners, and drafting content that highlights the impact of WFP operations and provides an overview of interventions in Djibouti.
11. Any other duties as requested.
QUALIFICATIONS AND EXPERIENCE
Education:
Completion of secondary school education. A post-secondary certificate in the related functional area is desirable (but not required).
Experience:
Five (5) years of relevant professional experience or three (3) years of experience with a Bachelor’s degree or higher
Desired experiences for entry into the role:
• Has demonstrated ability to use communication techniques and perform routine communication tasks daily.
• Has contributed to or demonstrated experience in drafting activity reports or other relevant information and communication documents.
• Has demonstrated an ability to perform routine communication techniques and activities in line with operating standards within a UN agency/entity, an international organization, or a public Administration through day-to-day work.
Knowledge and Skills
- Very good knowledge of Microsoft Office Suite: Word, PowerPoint, Excel, Publisher, etc.
- Good knowledge of software used for desktop publishing or editing (Photoshop, Premiere, Wochit, etc.) would be an asset.
- Excellent writing skills and ability to summarize information.
- Ability to provide information with courtesy and tact.
- Strong attention to detail.
Language:
- Excellent oral and written proficiency in French.
- Good oral and written knowledge of English.
- Knowledge of a local language is required.
