Job Title: Business Support Associate G6 (Senior Management Support)

Duration: 12 Months (Extendable based on satisfactory performance and funding availability)
Job Purpose:
Under the overall supervision of the Country Director, the Business Support Associate will ensure the smooth and efficient functioning of the Front Office. This role requires a high level of professionalism, discretion, and initiative to manage complex administrative tasks and provide executive support to senior leadership.
The incumbent will coordinate and deliver a wide range of business support services, including managing calendars, organizing high-level meetings, preparing briefing materials, and handling confidential correspondence. The position involves close collaboration with internal teams and external stakeholders to ensure timely and high-quality service delivery.
Key Accountabilities (not all-inclusive):
Provide dedicated executive assistant support.
Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, etc. and conduct research in the area of work.
Actively seek and use feedback to improve business processes and procedures.
Respond to complex business support queries to provide a timely and accurate resolution of enquiries for clients.
Oversee the maintenance of records and databases to ensure information is organized and readily available for staff and compliant with all relevant regulations and policies.
Revise and review correspondence and documentation, providing feedback and making amendments where appropriate, to contribute to production of these materials to time and quality standards.
Assist managers in planning, monitoring and reconciling budget(s) to ensure that planned financial resources are used effectively.
Assess and recommend improvements to procedures and practices, to contribute to the effective delivery of business support services.
Provide a full range of complex business support services to staff to contribute to the effective functioning of business operations.
Provide advice, support and/or training to junior support staff in the provision of business support services, to support their learning in providing business support.
Coordinate tasks of junior colleagues to ensure support services are delivered consistently and to the required standards.
Any other duties in line with the position level and expertise.
OTHER SPECIFIC POST REQUIREMENTS:
Provide direct support to the Country Director and Deputy Country Director, including proactive calendar management, travel planning, mission itineraries, and follow‑up on action items.
Draft, review, and translate official correspondence, reports, and briefing/meeting materials into Arabic (and from Arabic to English as required), ensuring accuracy, clarity, and alignment with WFP standards.
Establish and maintain effective relationships across internal units and with external stakeholders (UN agencies, government counterparts, donors, and partner organizations), facilitating timely information flow and coordinated actions.
Organize high‑level meetings and events (agendas, invitations, logistics, protocol), and prepare/read‑ahead packages, talking points, notes for record (NFR), and action trackers.
Serve as the focal point for all official correspondence (letters, memos, emails) with internal units, external partners, and government entities, managing routing and clearance, ensuring professionalism and timely delivery, and maintaining a structured registry/archive for audit and retrieval.
Qualifications & Experience:
Education:
A bachelor’s degree in business administration, Management, Public Relations, or a related field is desirable.
Experience:
Six or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
Knowledge & Skills:
Specialized knowledge of the application of common business processes, practical business support methods, procedures and systems used in area of work, gained through technical training and work experience.
Good communication skills to provide specialized business support services to a wide range of individuals.
Ability to analyze and interpret financial data and monitor budgets.
Ability to proactively identify and recommend areas for improvement to the design and delivery of specialized services.
Strong client orientation with the ability to anticipate needs, provide timely support, and maintain positive relationships with diverse stakeholders.
Experience in coordinating the work of others and self and training and supporting others.
Excellent organizational skills and ability to manage competing priorities in a fast-paced environment with attention to details.
Ability to maintain confidentiality and exercise discretion in all interactions.
Proficiency in Microsoft Office (Outlook, Word, Excel and Power Point) and Adobe Acrobat.
Languages: Fluency in both written and spoken Arabic and English.
