Training is a core activity across EMBL-EBI, involving almost every part of the organisation and coordinated by a team of over 20 people. The Training Team delivers a world-recognised programme that encompasses training delivered virtually and face-to-face to a global audience alongside self-paced online learning, up-skilling of trainers and secondments.
Your role
Your primary goal will be to contribute to the smooth running and high standards of EMBL-EBI’s diverse and highly acclaimed programme of live face-to-face and virtual training events. You will be responsible for the administration of events from initial concept to post-event wrap-up.
Main functions
On-site and virtual coordination/hosting of events.
Communicating with speakers, trainers, and event attendees from around the world.
Coordination of event logistics including catering, technical, transport, international travel, and accommodation.
Managing event finances, including but not limited to controlling expenditure, organising travel grants, monitoring registration fee payments, and processing speaker expenses. You will also need to prepare financial reports post-event.
Manage event registrations, reviews, abstracts, and other processes using various event management software.
Creation, population, and upkeep of event websites via content management systems.
Organising non-scientific content during events: social and networking provision, off-site dinners, etc.
Building and maintaining good relationships with internal and external partners, scientific organisers, and service providers.
Administrative functions necessary to the post.
There will be an occasional requirement to work evenings and weekends in support of the programme, and the possibility of some overseas travel.
About you
You have been involved in organising events and are confident managing logistics.
Resourcefulness, self-motivation and resilience, demonstrating an ability to work independently and to tight deadlines, keeping calm under pressure.
A strong service ethic with a focus on quality.
Excellent organisational, interpersonal and communication skills, and a proven ability to prioritise tasks in an international, complex, and diverse working environment.
Fluency in English, and good knowledge of MS Office and/or Google Workspace applications are essential.
There are no formal educational requirements for this role. Relevant experience, practical knowledge, and a proactive mindset are what matter most to us.
You may also have
Experience using event registration software (e.g. EventsForce) and website management software (e.g. Wordpress) is desirable. Training will be provided as necessary
A qualification in event management or business administration is desirable but not essential as full training will be given.
Contract length: 12 months fixed term contract - Maternity cover
Salary: Grade 4 - monthly salary starting at £3,064.61 per month after tax but excluding pension and insurance contributions. Plus, generous benefits.
