Role

Based in Rome, Italy and under the direct supervision of the Accounting Manager, the Accounting Assistant I will provide support to the Accounting Service Unit in the Rome office with various tasks in projects related to the harmonization efforts of the Alliance.

Responsibilities

More specifically the Accounting Assistant I will:

  • Monitor SAP Concur postings in the accounting system, supporting with resolution of stuck transactions in Batch Input Maintenance and liaising with budget officers, regional processors and the Accounting Coordinators to resolve identified issues.
  • Assist with Review and correction of SAP Concur entries for the Rome Office, including Travel Expense Reports, Cash Advances, other liabilities, and A/R returns.
  • Assist with the review and preparation of travel accruals.
  • Perform the monthly upload of HSBC and NEXI credit card statement transactions.
  • Support with Preparation and correction of Sap Concur payable entries for vouchers of payment.
  • Perform the monthly reconciliation of Traveler’s credit cards.
  • Inform the Accounting Manager in case of un-reconciled items or irregular expenses.
  • Provide clearance to HR in case of staff member’s separation that credit card transactions are outstanding at the time of the separation.
  • Assist with Correction and upload of Sap Concur HR-related travel expenses such as repatriation, separation, and relocation into the ERP.
  • Monitor the submission of travel expenses for the Bioversity ROM entity and follow up with travelers monthly including pending credit card transactions
  • Forward the list containing the missing expenses report to the processors in Regional offices and Accounting Coordinators in Africa & Asia for monitoring and review.
  • Archive travel accounting-related supporting documentation on SharePoint.
  • Assist with reconciliation of balance sheet accounts such as selected categories of account 64200 (BTA, Airplus, and other Rome Company paid expenses).
  • Assist with the review and correction of travelers’ balances related to A/R and A/P balance sheet accounts for the Rome Office and other regional offices as needed.
  • Provide supporting documentation related to travel expenses to internal and external requestors. Assisting other accounting staff with activities related to the regions and CIAT.
  • Ensure that the Accounting ticketing system’s SLAs are met according to guidelines agreed upon with the Accounting Manager.
  • Undertake other related tasks as required.


Requirements

  • Secondary school education supplemented by office training or related courses in economics, accounting, finance and related fields.
  • Previous work experience (preferably minimum 2 years) in finance units performing process-oriented / transactionalactivities.
  • Proficiency in relevant software packages (Microsoft Office Suite).
  • Knowledge of or experience with financial management software.
  • Solid interpersonal, communications and teamwork skills; courtesy and tact, and the ability to establish and maintain effective working relationships with people of different cultural and national backgrounds.
  • Well-developed skills in personal organization, filing and priority setting, problem solving and accuracy.
  • Strong client orientation and service approach.
  • Sound judgment and initiative; ability to work independently within the assigned area.
  • Full professional proficiency of the English language, both written and spoken.

Terms of employment

This is a nationally recruited position, based in Rome (Italy), open only to internal candidates, namely: regular staff members, complementary staff members and individuals who are currently employed or have completed a contract with Bioversity in the last 6 months. The position is BG4 level, on a scale of 14 levels, with level 14 being the highest and the salary range starts from Euro 35,790. The remuneration package includes a competitive salary, leave provisions, medical and life insurance, and non-contributory retirement plan. The contract will be for a period of 1 year, subject to a probationary period of 6 months, and is renewable subject to performance, project needs and availability of funds.
