UNICEF West and Central Africa Regional Office (WCARO) is seeking an Administrative Associate, G-6, on a Temporary Appointment for six months, based in Dakar, Senegal, to support the Programme and Planning section.Under the supervision of the Regional Chief Programme and Planning, you will provide specialized administrative, operational and coordination support to ensure the smooth functioning of the section. Your work will cover budget monitoring, planning and project management support, procurement and contract administration, workflow coordination, communications, travel, records management, meeting support and other day-to-day administrative services.You will play a key role in helping the section deliver efficiently by ensuring that administrative processes are timely, accurate, well organized and compliant with UNICEF procedures. The role requires strong planning and organizational skills, attention to detail, sound judgment, client orientation and the ability to manage multiple priorities in a busy regional office environment.

How can you make a difference?

In this role, you will make a difference by providing the administrative, operational and coordination support that enables the Programme and Planning section to function smoothly and deliver effectively. You will help ensure that budgets, procurement processes, records, travel, meetings, communications and workflow are well organized, accurate, timely and compliant with UNICEF procedures.
By bringing strong organization, attention to detail and proactive follow-up, you will help reduce bottlenecks, improve efficiency, and allow programme colleagues to focus on strategic and technical priorities. Your support will contribute to stronger planning, better use of resources and more effective delivery of results for children across West and Central Africa.
The Administrative Associate will provide comprehensive administrative, operational and coordination support to the Programme and Planning section, helping ensure that budgets, workplans, procurement processes, communications, travel, records and day-to-day workflows are managed efficiently, accurately and in line with UNICEF procedures. The role requires strong organizational skills, attention to detail, sound knowledge of administrative processes, and the ability to support a busy regional section with timely follow-up and service-oriented support.
Key accountabilities:
  1. Budget monitoring
    Supports budget tracking, expenditure monitoring, records management and related transactions to help ensure effective use of resources and timely follow-up.
  2. Administration section planning and project management
    Helps coordinate planning information, project tracking and data inputs so that the section can monitor progress, meet deadlines and maintain complete records.
  3. Procurement
    Provides administrative support for contracts, partner and consultant processes, documentation, rosters and related procurement follow-up in line with applicable guidance.
  4. Communications, workflow and administrative support
    Coordinates routine and non-routine communications, meetings, filing systems, travel support, invoices, supplies, inventory and other daily administrative requirements to keep the section running smoothly.

  • Education: Secondary Education in any related fields.
  • Work Experience: At least 6 years of relevant work experience in Administration,Communication,Research, Planning, Monitoring and Evaluation,Operations, administrative support, budget management, procurement, travel coordination, office management, event logistics, contract administration, records management, invoice processing. and any other related fields.
  • Skills: Budget Monitoring, Procurement, Travel Planning, Invoice Processing, Project Coordination, .
  • Language Requirements : Fluency in French is required.

Desirables

  • Language: Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language
  • SAP, project management certification, procurement certification, experience in international organizations
  • Relevant experience at country level, particularly in development, fragile settings and humanitarian contexts.
