Since the inception of IOM in 1951, Movement Operations have been and continue to be a fundamental pillar of the Organization’s work. The organized movement of persons in need of international migration assistance is a primary mandate of the Organization and a cornerstone of IOM’s operations. Movement Operations units in various IOM Country Offices (COs), coordinated under the Resettlement and Movement Management (RMM) Unit in the Division of Movement, Resettlement and Labour Pathways (MRLP) at IOM’s Headquarters, are responsible for all aspects of travel for migrants and refugees under IOM’s auspices, in accordance with the various framework agreements with resettlement and receiving Governments and partners across the spectrum of the Organization's programmes.
Migrant Training activities - including Pre-Departure Orientation (PDO), Cultural Orientation (CO), and Post-Arrival Orientation (PAO) - are an integral component of IOM’s MRLP Division, equipping migrants with essential knowledge and skills to support their successful integration and self- sufficiency in destination countries. Training programmes are implemented globally under the framework of the MRLP Division and are tailored to meet the specific needs of beneficiaries, in close coordination with partner organizations and governments.
Under the overall supervision of the AUSCO Global Coordinator and the direct supervision of the National Project Officer, the Project Associate – Reporting will be responsible for supporting programme monitoring and reporting activities of the Australian Cultural Orientation Programme (AUSCO). The position will assist in compiling, verifying and maintaining programme data and records, preparing routine statistical and programme reports, coordinating information requests, and monitoring reporting schedules and deadlines. The incumbent will work closely with programme staff, delivery locations, country offices and implementing partners to facilitate the timely and accurate provision of programme information and reporting outputs, in accordance with established procedures, systems and reporting requirements.
Responsibilities
1. Assist in the implementation and monitoring of programme reporting activities, maintaining programme records, reporting databases and information management systems to support effective programme delivery.
2. Compile, verify, reconcile and maintain participant training data received from delivery locations, facilitating the accuracy, completeness and timely processing of information within Home Affairs reporting systems, internal databases and other relevant platforms.
3. Produce routine statistical reports, dashboards, data summaries and performance tracking tools, identifying discrepancies and shortfalls for review by the supervisor.
4. Support the preparation of contractual, donor and management reports, including compiling narrative and statistical inputs, consolidating reporting annexes in accordance with IOM and donor reporting requirements.
5. Facilitate knowledge management by contributing to central repositories of programme documentation, training records, reporting outputs, reference materials and Standard Operating Procedures (SOPs), ensuring accessibility and version control.
6. Coordinate information requests from country offices, implementing partners, delivery locations and other stakeholders, supporting the timely collection, and dissemination of programme information and key performance indicators.
7. Monitor reporting calendars, reporting schedules and contractual deadlines, liaising with relevant programme staff to facilitate the timely submission of reports, updates and supporting documentation.
8. Provide administrative and technical support related to reporting, information management and programme monitoring activities, maintaining effective coordination with project staff, delivery partners and relevant support units.
9. Demonstrate an in-depth understanding of applicable SOPs, reporting requirements, related systems and databases, and IOM Standards of Conduct. Maintain confidentiality, accuracy and integrity of all programme data and documentation in accordance with IOM policies and relevant data protection requirements.
10. Uphold RMM Protection Mainstreaming Minimum Standards while carrying out all duties and responsibilities and demonstrate the ability to remain professional, impartial and unbiased during all interactions with migrants and colleagues in accordance with the IOM Standards of Conduct and the Instruction on Prevention of Sexual Exploitation Abuse and Harassment (PSEAH).
11. Perform such other relevant duties as may be assigned.
Qualifications
Required Qualifications and Experience
Education
• Bachelor’s degree in Political Science, Social Sciences, Business Administration, Refugee and Migration Studies, International Relations, Law or a related field from an accredited academic institution with three years of relevant professional experience; or,
• High School diploma with five years of relevant professional experience.
Accredited Universities are those listed in the World Higher Education Database (WHED) Portal.
Experience
• Experience in data management, reporting and/or information management;
• Experience in working with migrants, civil society and government is an advantage;
• Prior experience working for IOM, a UN agency, or another international organization is an advantage; and,
• Applicants must have the ability to obtain and maintain an AGSVA Baseline security clearance.
Skills
• Knowledge of migration-related issues;
• Proven ability to work with vulnerable individuals;
• Excellent written and oral communication skills;
• Attention to detail and ability to organize work; and,
• Good communication, organizational and interpersonal relationship skills.
Languages
All IOM staff members in all categories are required to be fluent in one of the IOM's official languages (English, French, Spanish).
For this position, fluency in English is required (oral and written).
