Job Description

Context
Under the general supervision of the Chief of Mission, and direct supervision of the Field Coordinator, the Field Operations Assistant is responsible for undertaking the following duties and responsibilities:

Responsibilities

  1. Support the collection of field information on the situation, needs, and gaps of migrants, refugees, and host communities, in line with established guidance.
  2. Review completeness of the collected data and forward it to the staff responsible for information management.
  3. Provide basic guidance to migrants and refugees regarding humanitarian assistance pathways, available services, and other relevant information.
  4. Assist in case management processes, from identification and assistance to follow-up, keeping the proper and timely use of IOM’s case management tools (IMS).
  5. Provide logistical support in organizing meetings, workshops, community events, and activities with local actors.
  6. Assist in the distribution of assistance and in responding to contingencies or emergencies in the field, when required.
  7. Support the preparation of inputs for reports, meeting minutes, and administrative documentation related to field activities.
  8. Assist to maintain communication with communities, local authorities, and partner organizations to facilitate activity implementation, under supervisor guidance.
  9. Assist in basic administrative processes related to procurement, travel, and logistical coordination in the field.
  10. Contribute to the proper use and control of supplies and materials delivered within the framework of field activities.
  11. Perform other related tasks as may be assigned. 

Qualifications

Education
  • High school diploma with 3 years of work experience; or  
  • Bachelor’s degree in Political or Social Sciences, International Relations, Psychology, Migration Studies, Law, or related fields with two (1) years of relevant professional experience. 
Accredited Universities are those listed in the UNESCO World Higher Education Database.
 
Experience
  • ​​Previous experience in field operations or related humanitarian programmes is an advantage.​ 
Skills
  • Good computer skills, including Word, Excel, and Internet.
  • Strong interpersonal and communication skills.
  • General knowledge of basic administrative and logistical procedures in support of field activities.
  • Familiarity with information collection tools and with providing guidance to migrants, refugees, and host communities.
  • Basic understanding of the local context and of humanitarian assistance principles under the Organization’s mandate.  
Languages
  • For this position, fluency in Spanish is required (oral and written).  
  • Oral and written fluency of beneficiary’s languages (​English​) is an advantage.
IOM’s official languages are English, French and Spanish.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
