Job Description

Responsibilities

  1. Provide administrative and logistical support for all program activities.
  2. Compile relevant administrative and logistical weekly and monthly reports as required by the program
  3. Assist the unit in the organization of trainings in particular ensuring all the logistics are covered, booking of conference facilities, booking of refreshments and all the materials needed for the trainings.
  4. Assist in preparing and following up on procurement processes, including raising Purchase Requests (PRs), Requests for Payment (RFPs), and supporting compliance with IOM procedures and documentation requirements.
  5. Prepare weekly progress report for all procurement activities.
  6. Follow- up on the timely delivery of procured supplies and materials by the vendors and report to the requester about the status of procurements, including estimated time of delivery and/or any changes which may affect pre-determined delivery conditions
  7. Support the proper filing and tracking of administrative and financial documentation related to Protection Unit activities and implementing partners.
  8. Assist in the preparation and review of documentation required for coordination with implementing partners, including contracts, payment requests, and deliverable tracking.
  9. Provide support to warehouse processes by assisting with the receipt, storage, and dispatch of prepositioned materials, ensuring documentation is properly maintained, and serve as a back-up focal point when needed.
  10. Assist in monitoring stock levels of prepositioned materials, preparing updates, and supporting replenishment processes to ensure availability of items for timely distribution.
  11. Support the maintenance and updating of tracking systems for program deliverables, ensuring records are accurate and up to date.
  12. Assist in the preparation of internal reports, correspondence, and presentations as requested by supervisors.
  13. Provide administrative support to the Protection Unit’s coordination with other units (finance, logistics, procurement, admin) to facilitate implementation of activities.
  14. Perform such other duties as may be assigned.

Qualifications

Education
  • University degree with minimum two years of relevant professional experience, or School diploma with four years of relevant experience. 
Accredited Universities are those listed in the UNESCO World Higher Education Database.
 
Experience
  • Experience working with international organizations
Skills
  • High level of computer literacy (MS Office Word, Excel, Outlook).
  • Excellent communication skills both oral and written in English and Bengali
  • Ability to prepare clear and concise reports.
  • Strong strategic, analytical and creative thinking skills.
  • Ability to cooperate and coordinate with other units, implementing partners, NGOs and government departments
  • Personal commitment, efficiency, flexibility and drive for results.
  • Demonstrated gender awareness and gender sensitivity.
  • Capacity to work effectively and harmoniously with colleagues from various professional backgrounds.
Languages
  • Fluency in Bangla and English is required. Knowledge of the local dialect (Chittagonian) would be an advantage. 
IOM’s official languages are English, French and Spanish.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
